The Data Access button opens a screen where you can define the employees, organization units, pay codes, special codes, and override codes the employee can access on screens and fields authorized with this role.
Tip: You need to configure and save the General role screen first before the Data Access button is enabled.
Depending on the type of role you select, the following options may be available in the Role Assignment Actions section.
Opens a screen to allow users to add access to specific organization units for the open employee. Enter the information in the field at the level you wish to add the access. Note: Depending on your corporate structure, you may have different levels, and different labels for these levels. |

Adds access to individual employees using the Employee Search Criteria. When the search criteria is displayed, select the appropriate employees by clicking on the + sign to the left of the employee name. The selected employees are added to the Individual Employee Assignments list. |

Opens a screen to add access to all employees in specific organization units for the open user. |

Opens a screen to grant or deny access to individual pay codes. This option is only enabled if the role assignment has access to pay codes. |

Opens a search screen to select an organization unit. The user is then assigned access to all pay codes in the selected organization unit(s). |

Opens a screen to grant or deny access to individual pay codes. This option is only enabled if the role assignment has access to special codes. |

Opens a search screen to select an organization unit. The user is then assigned access to all special codes in the selected organization unit(s). |

Opens a screen to grant or deny access to individual override codes. This option is only enabled if the role assignment has access to override codes. |

Opens a search screen to select an organization unit. The user is then assigned access to all override codes in the selected organization unit(s). |

To remove one or more records from the data access table, check the box to the left of the record you wish to delete and click the Delete Selected button. |
You can also deny data access to pay codes and special codes by assigning pay code and special code exclusions to unions. The data access associated with an employee's union trumps all other data access associated with their roles.
