Setting Profile Qualifications

Profile qualifications allow you to define levels of requirements that an employee must meet before being able to view vacancies. Vacancies are certain types of available schedules on the Monthly View screen, such as Request to Work schedules and schedule offers. You can define these levels starting with schedules where the employee's profile matches exactly and then allowing larger groups of schedules to be available by relaxing the requirement restrictions. This allows your organization the freedom to determine from where your employees can view vacancies.

There is a set of predefined Profile Qualifications included with Staffing and Scheduling. These were created based on common scenarios and may fit your needs.

The included Profile Qualification called Profile Permissions allows vacancies to appear for exactly matching profiles, meaning the position, organization unit, and license requirements. The included Profile Qualification called Schedule Partner - Tier 1 allows vacancies to appear for organization unit Schedule Partners and job class Schedule Partners. Profile Qualifications Definitions

If you update existing or add new Profile Qualifications, the following field definitions will help.

Ancestor

The organization unit level where the vacancies process looks to find qualifying schedules to populate the Monthly View screen. For example, only the department or the entire facility. (Your organization unit levels are available to choose from in the menu or None - Ancestor is not used)

Description

The full label describing the Profile Qualification record. (Any text)

Float

Determines whether to include float employees in the Profile Qualifications requirements. (Yes or No)

Job Class

Used to determine which type of job class to include in the Profile Qualifications requirements. (Schedule Partner, Exact, Position, Profile, or None)

Labor Distribution

Used to determine which labor distributions to include in the Profile Qualifications requirements. (Home, None-Home, or None)

Licensed

Used to determine whether only appropriately licensed employees (profile and position licenses) be included in Profile Qualification requirements. (Yes or No)

Organization Unit

Used to determine which type of organization unit to include in the Profile Qualifications requirements. (Schedule Partner, Exact, or None)

Point Value

A number used to compare and rank Profile Qualifications. Lower numbers rank higher. For example, a Point Value of 1 ranks higher than 5. (Any numeric value)

This number does not have to be unique. If another like value exists, the two Profile Qualifications are grouped together.

Tier Level

Used to further rank similar schedule partners. Lower numbers rank higher. For example, 1 ranks higher than 5. (Any numeric value)

Departments A, B, and C are Med-Surg units and are set up as schedule partners with a Tier Level of 1. Departments D and E are Critical Care units and also are schedule partners with a Tier Level of 1. In high-need/low-staff situations, employees from Critical Care can float to Med-Surg (and vice versa). To enable this ability on the Current Staffing Overview screen, a third schedule partner group is created. This new group of schedule partners includes all departments A - E and has a Tier Level of 2. In this example, the Qualified Staff on the Current Staffing Overview will look at Tier Level 1 first, then Tier Level 2, for qualifying schedules to show as vacancies.

Update Existing Profile Qualifications

To update an existing Profile Qualification record, complete the following steps.

  1. Navigate to the Configuration screen > Scheduling card > Profile Qualification screen.

    The existing Profile Qualifications appear.

  2. Click the down arrow to open the desired Profile Qualification record.
  3. Make the desired changes and click Save.

    Use the field definitions from the Profile Qualifications Definitions section to assist you in making your changes.

  4. After you have finished all work on Profile Qualifications, run the Schedule Qualifications process.

Schedule Qualifications Process

The Schedule Qualifications process serves a couple of functions; however, the reason it is included here is that the process immediately determines the profile qualifications for every employee and profile. This should not be necessary to do too often because the process does run nightly and when the source data items change, such as labor distributions and employee licenses. The option is provided if you need to manually trigger the process. This is similar to other processes you may be familiar with, such as Calculate All Employees and Education Requirements.

Add New Profile Qualifications

To create a new Profile Qualification record, complete the following steps.

  1. Navigate to the Configuration screen > Scheduling card > Profile Qualification screen.

    The existing Profile Qualifications appear.

  2. Under Profile Qualification Configuration Actions, click Add.
  3. Enter the desired data into each field and click Save.

    Use the field definitions from the Profile Qualifications Definitions section to assist you in making your changes.

  4. After you have finished all work on Profile Qualifications, run the Schedule Qualifications process.
