Assigning Authorization Roles

The standard authorization roles in the following table are available to assign to employees and organization units that are using features on the Monthly View screen. If necessary, you can replicate the roles to modify them for your organization.

You do not need to assign all of the following roles. Only assign the roles that are associated with the Monthly View features that you are planning to use. For example, if your organization does not use Schedule Incentive, you do not need to assign the SS Employee (Incentive) role.

In addition, some of the following roles have a corresponding subscription role, such as SS Employee (Incentive Sbscrpt). If you decide to use subscription notifications, add the subscription roles along with the corresponding roles from the following table.

Allows employees to add requests to work for themselves and to view the Request To Work record.

SS Employee (Self Scheduling)

Allows employees to self schedule and to submit and accept trades and offered shifts.

Allows employees to submit requests for unavailability or recurring unavailability.

Assign an Authorization Role to an Employee

To assign an authorization role to an employee, complete the following steps.

  1. Click the Employee section.
  2. Search for and open the desired employee record.
  3. Under Employee Sections, click Roles.
  4. Under Role Actions, click Add.
  5. Click in the Authorization Role Code field and enter the code (full or partial) or scroll through the Field Look Up Values in the right area.
  6. Click the desired standard role, or its equivalent replicated role, in the Field Look Up Values.

    The Authorization Code field updates with the name of the role.

  7. Click Save.

    If you are assigning a subscription role, such as SS Administrator (Subscription), stop here. You do not need to complete the following steps.

  8. Under Role Assignment Sections, click Data Access.
  9. Under Role Assignment Actions, click the desired Data Access option and then enter the appropriate level of access.
  10. Click Save.
  11. Repeat steps 9 and 10 for the other applicable Data Access options.

Assign an Authorization Role to an Organization Unit

To assign an authorization role to all employees in an organization unit, complete the following steps.

Steps 8 - 11 are general instructions for adding data access. However, the SS Employee (Self Scheduling) role requires data access to the SCHED pay code.

  1. Navigate to the Configuration section > Organization Unit card > Organization Unit screen.
  2. Search for and open the desired organization unit record.
  3. Under Organization Unit Sections, click Roles.
  4. Under Role Actions, click Add.
  5. Click in the Authorization Role Code field and enter the code (full or partial) or scroll through the Field Look Up Values in the right area.
  6. Click the desired standard role, or its equivalent replicated role, in the Field Look Up Values.

    The Authorization Code field updates with the name of the role.

  7. Click Save.

    If you are assigning a subscription role, such as SS Employee (Incentive Subscription), stop here. You do not need to finish with the following steps.

  8. Under Role Assignment Sections, click Data Access.
  9. Under Role Assignment Actions, click the desired Data Access option and then enter the appropriate level of access.
  10. Click Save.
  11. Repeat steps 9 and 10 for the other applicable Data Access options.
