Steps for Running the "Create Schedule" Process
To run the Create Schedule process for an organization unit or schedule group, complete the following steps.
- From the Actions section> Scheduling card, select the Create Schedule icon.
- Type the Organization Unit or Schedule Group to create a schedule, or select the values from the Field Look Up Values in the right pane. If a Default Organization Unit or a Default Schedule Group is configured, these fields are automatically filled.
Enter the appropriate organization levels required to run the scheduling process. The number of levels visible and the labels of the levels are determined by the corporate structure.

- To run the process on a different organization unit from the default, enter the organization values in the appropriate fields, or select from the Field Look Up Values. If a schedule group default is displayed, click the Organization Unit button to enable those fields, then enter the field information.
- To run the process on a different schedule group from the default, select the schedule group from the Field Look Up Values. If an organization unit default is displayed, click the Schedule Group button to enable those fields, then enter the field information.
Once the organization unit information has been entered, the predefined scheduling periods are available in the left pane when the Start Date or End Date field is highlighted.
The last day of the scheduling time frame to include, with a maximum length of two years from the Start Date. Note: If this process is being run from the Schedule screen, the start/end dates must fall within the time frame of the open schedule.
When running this from the Actions section>Scheduling card>Create Schedule, after entering the Organization Unit values, the scheduling periods for this organization unit are displayed in the right pane, with the current scheduling period highlighted. If a scheduling period is selected, the Start Date and End Date fields are automatically filled in. Start and End Dates for a period of time other than a scheduling period can also be entered.

When running this process from the Actions section>Scheduling card>Create Schedule screen, the scheduling periods for this organization unit are displayed in the right pane Field Look Up Values with the current scheduling period highlighted. If a scheduling period is selected, the Start Date and End Date fields are automatically filled in.
- To run the process for a predefined scheduling period, select the scheduling period to run from the Field Look Up Values in the left pane.
To run the process for a date range other than a predefined scheduling period, enter the Start Date and the End Date of the range to be scheduled, with a maximum length of two years from the Start Date.
- The default Selection Style is automatically loaded, but another can be selected from the Field Look Up Values. The selection style determines the scheduling passes that are run and the rules validations that are done on each scheduling pass. See the Configuration section> Scheduling card> Selection Style for more information.
The Selection Style code to be used when running the scheduling process. Built into the Selection Style are the qualification rules for selecting qualified employees, and also the rules for ranking qualified employees. If this user has a Default Selection Style set up, that option is automatically entered in this field, but can be changed.
Note: Default selection styles are set up on the Preferences section> My Preferences card> Default Selection Styles screen.

- In the By Profile field, indicate whether to run the scheduling process for all profiles or only for selected profiles.
Determines whether the scheduling process will be run for only selected profiles (yes/no). If this value is set to 'Yes', when the user clicks the Submit button, a wizard displays to search for and select the profile(s) to be scheduled.
- When this value is set to 'No', the scheduling process is run for all profiles in the selected organization unit or schedule group.
- When this value is set to 'Yes' and the Submit button is clicked, a wizard is displayed to search for and select the profiles to be included in the Create Scheduling process. Only core and need-based schedules for the selected profile(s) are populated.
- To generate a report that tracks whether an employee was scheduled and any reasons they were disqualified, set the Create Schedule Audit Report value to 'Yes'. Note: This report can be viewed in the Reports section> Scheduling card> Create Schedule Audit.
- To run the scheduling process for only a specific employee class, select the Employee Class Code from the Field Look Up Values. To run the process for all employee classes, leave this field blank.
If this scheduling process is to include only employees of a specific employee class (e.g. part time, full time, etc.), enter that value in this field. To run the scheduling process for all employee classes, leave this field blank.
- When all fields are configured, click the Submit button to run the processing.
A message box indicates if the job was successfully submitted or if there was an error encountered. To view any error messages, open the Process Report in the Action section> System card.
After the process has been run, the Schedule screen is automatically opened to the organization unit or schedule group with the results.

Create Schedule Audit Report
Determines whether to generate a report from this scheduling process instance to help in troubleshooting scheduling issues (Yes/No). This report can be accessed through the Reports section/Scheduling card/Create Schedule Audit.
Employee Class Code
If this scheduling process is to include only employees of a specific employee class (e.g. part time, full time, etc.), enter that value in this field. To run the scheduling process for all employee classes, leave this field blank.
End Date
The last day of the scheduling time frame to include, with a maximum length of two years from the Start Date. Note: If this process is being run from the Schedule screen, the start/end dates must fall within the time frame of the open schedule.

More About Date Value Fields
When a date field is highlighted, the Date Selector is displayed in the right pane to search for the date. Use the arrows in the heading bar to scroll to the Previous or Next month's calendar. Double-click on a date to enter it into the field. Alternatively, dates can be typed into the field.

By Profile

Schedule Group
The schedule group to run the scheduling process for. Schedule groups can contain multiple organization units and are predefined on the Schedule Groups screen.
Note: Users must have data access to all organization units in the Schedule Group to be able to see it in the Field Look Up Values list and select it. For more information on Schedule Groups, see the Configuration section>Scheduling card>Schedule Groups screen.
Selection Style
The Selection Style code to be used when running the scheduling process.
