Replicating Coverage Period Values

The values set up for a coverage period on a staffing distribution record can be replicated (copied) to another coverage period in the same acuity or at other acuity levels. The replicated records can then be edited. This reduces the amount of data entry required to set up these records, especially when the values are similar between records (such as the break down for a staffing matrix).

Note: Records can only be copied when the Active field is set to No.

• Staffing requirements can be copied between coverage periods in the same acuity. For example, the requirements can be copied from the day shift to the evening and night shifts of the same coverage period, and the values can be modified.
• Staffing requirements can be copied between a coverage period in one acuity to any coverage periods in other acuities. For example, the requirements for the Day coverage period for Acuity 1 can be copied to the Day coverage period for Acuity 2 and Acuity 3, and the values can be modified.
• Staffing requirements can also be copied when the ranges are completed but before the values are entered.

  The staffing distribution ranges can be set up and replicated to other coverage periods before any values are entered. Then, the values can be entered for each coverage period.

  Note: All coverage periods for an acuity can be copied to another acuity. A user can set up a single coverage period, copy to the other coverage periods in an acuity and modify them. Then all coverage periods in the acuity can be copied to another acuity. For more information, see Replicating Staffing Distribution Acuity Values.

To replicate coverage period records within a single acuity, complete the following steps:

As an example, the staffing values already set up in the Day coverage period are going to be copied to the Evening and Night coverage periods.

1. Set up one of the coverage period records. For example, the Day coverage period is set up.
2. Click on the Replicate Coverage Period button in the left pane.
3. In the Source Acuity field, enter the acuity level of the coverage period that is to be copied.

   The acuity level that the values should be copied FROM when replicating staffing distribution records. The source coverage period from the source acuity level will be copied to all coverage periods selected by checking the Target Coverage Periods check boxes.

4. In the Source Coverage Period field, select the coverage period in the Source Acuity level that is to be copied FROM.

   The coverage period that the values should be copied FROM when replicating staffing distribution records. These values will be copied to all coverage periods selected by checking the Target Coverage Periods check boxes.

5. In the Target Coverage Periods check boxes, check the box to the left of each coverage period under the Target Acuity column to copy the values TO. These coverage periods can be in the same acuity and/or in different acuities.

   The acuity levels that the values should be copied TO when replicating staffing distribution records, as selected by the Target Acuities check boxes.

   The coverage period that the values should be copied FROM when replicating staffing distribution records. These values will be copied to all coverage periods selected by checking the Target Coverage Periods check boxes.

6. Click on the Apply button.
7. The values are now copied to the selected Target Coverage Periods.

Source Acuity

The acuity level that the values should be copied FROM when replicating staffing distribution records. The source coverage period from the source acuity level will be copied to all coverage periods selected by checking the Target Coverage Periods check boxes.

Source Coverage Period

The coverage period that the values should be copied FROM when replicating staffing distribution records. These values will be copied to all coverage periods selected by checking the Target Coverage Periods check boxes.

Target Acuities

The acuity levels that the values should be copied TO when replicating staffing distribution records, as selected by the Target Acuities check boxes.

Target Coverage Period

The coverage period that the values should be copied TO when replicating staffing distribution records. The Target Acuity values will be copied to all coverage periods selected by checking the Target Coverage Periods check boxes.
