Steps for Setting Up the Self Schedule Group Order Table

To set up the Self Schedule Group Order Table for this Staffing Configuration, complete the following steps:

1. From the Configuration section>Scheduling card>Staffing Configuration screen, open the staffing configuration record to be configured.
2. Complete the Steps for Setting Up the Self Scheduling Card.
3. From the Self Schedule Group Table Order field, select whether the groups should self schedule in the same order each scheduling period (Static) or whether the groups should rotate the order they are allowed access to self scheduling (Dynamic).

   Determines whether the Self Schedule Groups have access to self scheduling in the same order each scheduling period, or whether the order of access is rotated each scheduling period.

   • If the Self Schedule Group Table Order is set to be Static, the groups have access to the feature in the same order each scheduling period.
   • If the Self Schedule Group Table Order is set to be Dynamic, the groups rotate as to which group has access first, second, third, etc. Note: The Codes on this screen will not be updated each scheduling period to display which group is scheduling first.

4. When a value is entered into this field, the Self Schedule Group Order Table is enabled.
5. Click on the Add Row button to add a record.
6. Enter a Code to establish a new Self Schedule Group. This code should also be entered in the Profile Parameter Self Scheduling Standard Alpha 1 field in Profile configuration screens for the profiles that are using these groups or in the Employee Labor Distribution Parameter Self Scheduling Standard Alpha 1. Note: When entering the code in the Profile parameter field, it must match exactly with the code entered in this field. If they do not match, the profile is not acknowledged as belonging to the group.

   Employee Labor Distribution Parameter Self Scheduling Standard Alpha 1 is used to assign an employee directly to a schedule group. The value entered in this field will override the schedule group assigned to an employee's matching profile.

   The employee will only have access to the self scheduling feature during the time frames assigned to the schedule group entered in this field, and will not have access to the self scheduling feature during the time frame assigned to the schedule group of the matching profile.

   Valid Values:

   Any alphanumeric value that matches a value entered into the Code field of the Self Schedule Group Order Table.

   Note: This parameter is found in the Employee record section>Employee Sections>Labor Distribution screen>Parameters tab.

   Profile Parameter Self Scheduling Standard Alpha 1 is used to create Profile Groups used with the Schedule Group Order Table. The group name is also entered into the table in the Code field. All profiles that are assigned the group name via this parameter will have access to the self scheduling screens during the time frame set up on the table.

   Valid values:

   Any alphanumeric value.

   Note: The value entered here must exactly match a value set up on the Self Schedule Group Order Table. There is no look up value or validation done on parameters to verify that this matches a Self Scheduling Group Code.

   An alphanumeric value identifying a self schedule group. This code is also entered into the parameter field of a profile or a labor distribution to identify employees who belong to this group.

   Note: There is no validation done on this field. Be sure the value in this field is entered exactly as it appears in the labor distribution or profile parameter field.

7. In the Begin Day field, enter the number of days before the start of a scheduling period when this group can access self scheduling. This value must be less than or equal to the value in the Self Schedule Begin Advance Days field.

   The number of days before a scheduling period begins that an employee, who is a part of the corresponding group, is allowed to start self scheduling. This value must be less than or equal to the Self Schedule Begin Advance Days value.

8. In the End Day field, enter the number of days before the start of a scheduling period when this group can no longer access self scheduling. This value must be less than the Begin Day value and greater than or equal to the value in the Self Schedule End Advance Days field.

   The number of days before the start of a scheduling period when this group can no longer access self scheduling. This value must be greater than or equal to the Self Schedule End Advance days parameter value and less than the corresponding Begin Days value within the Self Schedule Group Order Table.

   Note: When there is a gap of time between the lowest End Day value in the Self Schedule Group Order Table and the Self Schedule End Advanced Days value, all employees who are allowed to self schedule may do so, including those in Self Schedule Groups.

9. To add more schedule group records, click on the Add Row button again. Complete steps 5-8.
   • Gaps of time between the End Days value of one Self Schedule Group and the Begin Days value of another Self Schedule Group are allowed. During the gap, no self scheduling is allowed.
   • When there is a gap of time between the value set for Self Schedule Begin Advance Days and the Begin Days value of the first Self Schedule Group, no self scheduling is allowed during the gap.
   • When there is a gap of time between the lowest End Days value in the Self Schedule Group Order Table and the Self Schedule End Advanced Days value - this is called an End Gap - all employees who are allowed to self schedule may do so, including those in Self Schedule Groups. The self schedule period for the End Gap begins the day after the lowest End Days value and ends on the Self Schedule End Advance Days value.
   • Overlapping of Begin Days and End Days between Self Schedule Groups is allowed. Both groups are allowed to schedule during this overlapping time frame.
10. To remove any of the group records, click on the Remove button.
11. When all schedule groups are configured, click on the Save button to save the record.
