Bidding on a Schedule
To submit a bid (request) for a schedule, complete the following steps:
- From the Actions section>Employee card, select the Employee Schedule Incentive icon.
- Enter any search criteria to limit the schedule options returned: The Organization Unit information, the Profile Code assignment, the Activity Code assignment, and/or the Transaction Date Range Begin and Transaction Date Range End dates to search for a schedule date and click on the Search button.
The ending date of the range to search for available schedules.
The beginning date of the range to search for available schedules.
The activity code that is assigned to the schedule.
The profile assignment of the schedule. The profile record includes the positions, skills, and stations required for an employee to qualify to work this shift. This value defaults to the profile highlighted on the schedule grid, but can be updated.
The organization unit of this schedule. When a single organization unit schedule is loaded, this information is defaulted and cannot be changed. When a schedule group schedule is loaded, an additional screen is available to select the Organization Unit.
- The search results are displayed in either a grid or on a monthly view calendar.
- To select a schedule from a grid view, check the box to the left of the record and then click on the folder to open it.
- To select a schedule from a monthly view, click on the icon on the date to open the record.
- The information box displays the details on the shift. The current Lowest Bid may be displayed in the upper box, depending on whether Org Unit Indicator Schedule Incentive Standard 1 is set to display this value.
The currently submitted lowest bid for this schedule.
Note: This field is only displayed if Org Unit Indicator Schedule Incentive Standard 1 is set to authorize it.
- If the current user has the lowest bid, that information is also displayed.
- Enter a bid in the New Bid field.
Enter a bid for the current schedule. This bid must be an increment of the Increment value. For example, if the current bid is $15.00 and the increment is .50, the user could submit a bid for $14.50, $15.50, $16.00, etc.
- The bid must be larger than or equal to the Minimum Allowed Bid amount and smaller than or equal to the Maximum Allowed Bid.
The highest dollar amount that an employee is allowed to submit for a bid. If there is no maximum value, leave this field blank.
The smallest dollar amount that an employee is allowed to bid on this schedule. If there is no minimum amount, leave this field blank.
- If a Minimum Increment value is set up, the bid must be an increment of this value starting from the Maximum Bid amount. For example, if the maximum bid is $35.00 and the minimum increment is .50, the user could submit a bid for $35.00, $34.50, $34.00, etc. If the user submits a bid for $32.75, an error message would be generated because this is not an increment of .50 starting from $35.00.
When this value is set up, the submitted bid must be an increment of this value starting from the Maximum Bid amount. For example, if the maximum bid is $30.00 and the Increment is .50, the user could submit a bid for $30.00, $29.50, $29.00, etc.
With this example, if the user submits a bid for $28.75, an error message is generated because this is not an increment of .50. If there is no value set up in this field, there are no incremental restrictions on the amount the user can submit.
Note: If there is no value entered in the Maximum Bid field, then the Increment value will be set to zero.
- The bid may or may not need to be lower than the Current bid, depending on the setting of Org Unit Indicator Schedule Incentive Standard 10.
- Click on the Save button to save the bid.
- If the user has previously submitted a bid on this same schedule, a Your Current Bid field is displayed. Compare this amount to the Lowest Bid field to determine if your bid is currently the lowest. Employees can bid on the same schedule as often as they wish--only the most current bid per employee is displayed in the supervisor's bidding results, and in the Your Current Bid field.
The currently submitted lowest bid for this schedule.
Note: This field is only displayed if Org Unit Indicator Schedule Incentive Standard 1 is set to authorize it.
- Employees may continue to submit bids until the Closing Time on the Closing Date.
The date when the time frame for submitting bids is closed for this schedule. If this field is left blank, the system defaults to the date of the schedule.
The time of day on the Closing Date when an employee can no longer submit bids for this schedule. If this field is left blank, the time defaults to 00:00.
- The winning bid is awarded by an authorized user through the Actions section>Approval card>Schedule Incentive screen. When the incentive schedule is set to Closed, all non-approved bids are set to Denied.
- The winning bid is posted to the organization schedule.
- All employees submitting bids are notified on the Home page in the My Schedule Incentive Requests screen as to whether their bid was accepted or denied.
The following icons may be displayed to show the bid status:

Indicates the bid for this schedule is approved and awarded to this employee. The shift is added to the organization unit schedule screen.

Indicates the bid for this schedule was canceled.

Denied
|
Indicates the bid for this schedule is not approved for this employee.

Requested
|
Indicates the status of this request has not been changed, and is still pending.

Activity Code
The activity code that is assigned to the schedule.
Closing Date and Time
Depending on the field, either the calendar date or the time of day when bidding is closed for this schedule.
More About Date Value Fields
When a date field is highlighted, the Date Selector is displayed in the right pane to search for the date. Use the arrows in the heading bar to scroll to the Previous or Next month's calendar. Double-click on a date to enter it into the field. Alternatively, dates can be typed into the field.
More About Time Value Fields
When a field requires a Time Value, the value must be formatted in 24-hour time. This means after noon, the hour value entered should have 12 added to the hour value shown on the clock. For example, if the time is 3:00 pm, the correct value in 24-hour format is 15:00 (12+3 = 15).
- The system automatically formats entered values to hh:mm (two-digit hour value, two-digit minute value separated by a colon).
- Enter 1500 and the system automatically adds the colon between the hour and minute values to convert this to 15:00.
- Enter 900 and the system adds the leading zeros and colon to convert this to 09:00.
- The system adds leading zeros to any value less than 4 digits. For example, if 9 is entered, the system converts this to 00:09 (nine minutes after midnight).
- If the last two digits of the entered value is larger than 59, this cannot be converted to a valid time and an error message is generated.
- If the first two digits of a four-digit value is larger than 23, this cannot be converted to a valid time and an error message is generated.
- Enter midnight as 00:00; enter noon as 12:00.
- If a "p" or "pm" is entered after the hour value, the system automatically converts the time to the corresponding afternoon value in 24-hour time. For example:
- Enter 300p or 300pm and the system converts this to 15:00 and adds the colon.
Date
The calendar date of the schedule.

Maximum Bid
The highest dollar amount that an employee is allowed to submit for a bid. If there is no maximum value, leave this field blank.
Lowest Bid
The currently submitted lowest bid for this schedule.

Minimum Bid

New Bid

Organization Unit
The organization unit of this schedule. When a single organization unit schedule is loaded, this information is defaulted and cannot be changed. When a schedule group schedule is loaded, an additional screen is available to select the Organization Unit.
Organization Unit Open Date/Time
For each applicable organization unit level, the date and time that the schedule is available at that level. For example above, the schedule could open for bidding at the position level on October 10 at midnight, and then open to the branch level at 07:00.

Position
Select one of the positions authorized to work this schedule from the left pane. The system verifies the employee has the required position permission.
Profile
The profile assignment of the schedule. The profile record includes the positions, skills, and stations required for an employee to qualify to work this shift. This value defaults to the profile highlighted on the schedule grid, but can be updated.
Stage
The level of access that is currently being allowed to bid on the schedule. The first stage of access is at the position permission level. If no qualifying bids are submitted at that level, then access is progressively opened to higher and higher levels of the corporate structure on the dates entered.
Your Current Bid
Shows the most recent bid of the logged in user, so he/she can compare it to the lowest bid. The user can cancel this bid by clicking on the Cancel Bid button.
