Resources
The Resource screen displays the resources (e.g. equipment, materials, refreshments, etc.) required for the instruction of a course/competency. Resources can be added, edited and/or deleted from this screen.
Resources can be shared between multiple organizations. The total number of scheduled finite resources is tracked by the system, to prevent scheduling of multiple classes at the same time using the same resources. If there is a conflict in the resources for a class, a warning message is displayed. Default resource requirements are configured within a course, and exact numbers required can be modified.
Steps to Add a Resource Record:
- From the Configuration section>Education Tracking card, select the Resources icon.
- Click on the Add button to open a screen to create a new record.
- Enter a Code and Description to identify this resource record.
The label describing the resource.
An alphanumeric short name or abbreviation to identify the resource.
- Enter a Resource Classification Code used to filter the resources list.
The classification type (e.g. equipment, food, materials) assigned to this resource.
- In the Units Available field, enter the total number of this resource that can be scheduled. If there is an unlimited number of these (such as for refreshments) enter a 0.
Total number of this resource that are available to assign to classes. Note: To indicate unlimited number of resources available, leave this field blank. Do not enter a zero.
- If this resource is Active and can be assigned, enter a Yes.
Indicates whether this resource record is active and available to be assigned (Yes/No).
- If this resource can be shared between multiple classrooms, enter Yes in the Shared field. When the record is saved, the Resource Sharing button is enabled in the left pane to indicate the organization units that have access to this resource.
Indicates if the resource is shared between organization units (Yes/No). For example:
- Refreshments would be a shared resource (Yes). They are available in any classroom, any organization unit.
- A television and VCR could be a shared resource (Yes), but only within the same building. The organization units that can share this resource are selected on the Resource Sharing screen.
- A sink would not be a shared resource (No). If a class requires a sink and running water, the class would need to be scheduled in the specified classroom. The classroom where this sink is located is named in the Classroom Code field.
- Enter the Organization Unit code where this resource is located.
Select the appropriate code for this field. The number of organization unit levels available and the organization unit names displayed depend upon the corporate structure.
- In the Classroom Code field, enter the classroom where this resource is located, if applicable. If the Shared field is set to No, this is the only classroom where this resource is available (for example, a sink or other permanently mounted equipment that cannot be moved to other classrooms).
Indicates if the resource is shared between organization units (Yes/No). For example:
- Refreshments would be a shared resource (Yes). They are available in any classroom, any organization unit.
- A television and VCR could be a shared resource (Yes), but only within the same building. The organization units that can share this resource are selected on the Resource Sharing screen.
- A sink would not be a shared resource (No). If a class requires a sink and running water, the class would need to be scheduled in the specified classroom. The classroom where this sink is located is named in the Classroom Code field.
The classroom the resource is assigned to, if applicable.
- If the Shared field is set to Yes, this resource can be used in other classrooms within the authorized organization levels.
- If the Shared field is set to No, this resource is only available within this classroom (for example, a mounted projector and screen).
- Save the record.
- If the Shared field was set to Yes, the Resource Sharing button is enabled in the left pane. Click on this button.

- From the screen, indicate the organization units where this resource can be shared by checking the box to the left of the record, for example, within a certain facility, or department, etc.
