Adding an Education Transaction Record

Authorized employees can enter information regarding education tracking classes taken. Depending on the roles assigned to the employees, these transactions may need to be approved by a supervisor.

To add an education transaction, complete the following steps:

  1. From the Employee record>Employee Section buttons, click on the Education Transactions option.
  2. Click on the Add Request (for employees entering their own information) or Add button (for other authorized users) in the left pane.
  3. A screen is displayed to enter the information on the Education Transaction. Complete all applicable fields in the screen. Required fields are displayed with an asterisk.
  4. In the When Attended Date field, enter the date the class started. The Start Time, End Date, and End Time fields can also be filled in, but are not required.
  5. Enter the Course Code, or select it from the field look up values in the right pane. The Description field is disabled and will automatically update when the record is saved.  To enter transactions for courses that are not set up in the system, leave the Course Code field blank and enter a value in the Description field to identify this course.  Note:  This process can only be used for non-mandatory courses.
  6. In the Score field, enter the overall score earned for this class.
  7. Enter each employee's Transaction Status and Attendance Status codes. Only employees with transaction status options that are set with the Passed option set to Yes will satisfy the course requirement.
  8. The Hours and Credits are automatically filled in based on the Course Code entered, but are editable.
  9. The Cost is automatically filled in based on the Course Code entered, but is editable.
  10. The Classroom(s) and Instructor(s) information can be filled in.
  11. The Notes field is available to enter any additional information on this record.
  12. When all information has been entered, click on the Save button.
