Entering a Pending/Published Schedule (via the Add Calendar Screen)
A Calendar entry can be added to the Schedule screen as either a Pending (not published) employee schedule or as a Published (posted) employee schedule by selecting the proper button at the top of the entry screen.
Note: Schedule information cannot be added if the Transaction Grid view is being used. To open the Add Calendar screen described below, close the grid by opening any other employee screen from the options in the left pane. Then click on the Add Calendar button again.
To add this calendar to the Schedule screen, complete the following steps:
- After the steps for Entering a Calendar Entry are completed, select either the Pending button to open a screen to add an employee schedule with a status of Pending or the Published button to open a screen to add an employee schedule with a status of Published.
- On the General tab, information common to calendars and schedules is copied, such as the date, time, and hours of the calendar and the organization unit.
- Enter the Activity Code to be assigned to the employee on the Schedule screen.
The activity code to be assigned to the employee for this transaction. Note: The organization unit information must be completed before the activity code options display in the Field Look Up Values.
- The Lunch Length (Hours) value of the activity code is copied from the Activity Code.
The length of the lunch break, expressed in whole and/or decimal hours. For example, a half hour lunch would be entered as .5. This information is automatically filled in when an activity code is assigned, but can be edited.
- Choose whether or not a shift should be listed as an Extra Shift.
The Extra Shift indicator is only displayed for pending/published schedules. By selecting yes, the calendar will be considered an extra shift. By selecting no, the shift will be considered a regular shift.
- Enter a Position Code assignment for this employee schedule.
The labor distribution code that indicates the organization and job class assignment for the employee. Note: The organization unit information must be completed before the position code options display in the Field Look Up Values.
- Enter a Profile that is linked to the previously selected Position Code.
The profile code to be assigned to the employee. The profile code includes the job class, the organization unit, and any station and skill requirements. Note: The position code must be entered before applicable profile options are displayed in the Field Look Up Values.
- Click on the Save button at the bottom of the screen to save the record.
Note: If the Pending or Published schedule screens are not completed when initially setting up this Calendar record, the schedule cannot be added later via the Transaction Grid. It would need to added directly to the Schedule screen.
