Create New Activity Codes - Percentage Method

When using the Percentage method, you need to create new activity codes. But you also need to create new special codes and pay codes and configure an Applied Schedule - Special Code rule.

It is recommended that you work with your API Healthcare representative to help set up special codes, pay codes, and an Applied Schedule - Special Code rule for Schedule Incentive.

An Applied Schedule - Special Code rule allows an employee to clock in normally for the incentive schedule without having to enter a special code to get the premium pay.

A scheduled-to-work pay code, like SCHED, pays the employee their normal wage and will not calculate premium or bonus pay. However, this employee needs to be paid the premium (incentive percentage) awarded from the approved incentive schedule, such as base pay plus 10%. Without the Applied Schedule - Special Code rule, the employee would not receive the premium pay. Thus additional activity codes, pay codes, and special codes need to be created to accommodate this situation.

With a API Healthcare representative, you will complete the following tasks.

Create new activity codes for Schedule Incentive as you would any other productive activity code.

Instead of creating a new activity code, you can replicate an existing code and modify it. In this situation, complete the following steps.

a. Search for and open the source activity code.

b. Under Actions, click Replicate.

c. Complete steps 3 and 4.

d. Review steps 5 - 13 and update as needed.

e. Complete steps 14 and 15.

  1. Navigate to the Configuration section > Scheduling card > Activity Code screen.
  2. Under Actions, click Add.
  3. Enter a unique alphanumeric Code.

    A recommended format for the Code is SI10, SI20, etc. This would signify Schedule Incentive - 10%, Schedule Incentive - 20%, etc.

  4. Enter a Description to identify the activity code.
  5. Enter the Start Time.

    It is recommended to enter 00:00. The correct time will fill in when setting up the incentive schedule.

  6. Enter the Length (Hours) and the Lunch Length (Hours).

    It is recommended to enter 0.00. The correct length with fill in when setting up the incentive schedule.

  7. Select a Display Color.
  8. Enter a Pay Code that you created earlier as described previously in this section, such as Sched10.
  9. In the Active field, select Yes or No.
  10. Enter the organization unit or select one from the Field Look Up Values in the right area.
  11. Click Save.
  12. Click the Indicators tab, select the appropriate indicator values in each card, and click Save.
  13. Click the Parameters tab, open the Staffing and Scheduling card, and enter the appropriate values.
  14. On the Parameters tab, open the Schedule Incentive Management card.
  15. In the Sched Incentive Standard Percent 1 field, enter the incentive percentage value associated with the activity code.

    When employees are requesting incentive schedules, they are only able to select percentages that have been added on this parameter for the activity codes you create.

    Example: You set up SI5, SI10, and SI20 activity codes to be used with the Percentage method. Employees select from a list of percentages that includes 5, 10, and 20.

When the special codes, pay codes, and activity codes have been created, configure the Applied Schedule - Special Code rule.
